What does ChemLevel know about our plant?

Everything you put into it, which is more than it might feel like while you are entering one reading at a time: your plant’s name and address, every chemical on site and how much of each, cylinder weights position by position, every reading and usage entry with the date and who logged it, orders placed and what each load cost, and problems flagged during a round. If your plant uses the lab inventory feature, add the lab orders you import — the items, how many and what each cost. Not the confirmation itself: that is read on your phone and thrown away, and only the item, quantity and price are written down.

That last detail is worth saying plainly: entries are recorded against the person who made them. Not to check up on anyone — it is how a supervisor can ask “was this the 6am round or the swing shift?” when a number looks odd. But you should know it rather than find out.

Who can see it?

Your organization, and nobody else’s. Another utility using ChemLevel cannot see your site any more than you can see theirs — that separation is enforced by the database itself, not by the app being careful.

Inside your organization, supervisors see everything about the plants they are assigned to. Operators see the plant and can log rounds, and whether they see costs and budgets is a setting an administrator controls per person.

Supervisor and administrator are separate jobs in ChemLevel, and one person often holds both. A supervisor sets up chemicals, tanks and thresholds. An administrator handles the account — who is invited, who is removed, who sees budgets, and clearing someone’s two-factor. At a small plant that is the same person; at a larger utility the administrator may be someone in the office who never touches a chemical.

If your utility runs more than one plant, you may be assigned to some of them and not others. A plant you are not assigned to does not appear anywhere for you — it is not in the site list, and its chemicals and readings are not in your reports. That is not a fault; it is how you were set up. An administrator at your organization decides it, and can change it.

Most people are not restricted this way, and if your utility has one plant it never comes up. If you expected to see another plant and cannot, ask an administrator rather than assuming something is broken.

Why turn on two-factor, and what if I lose my phone?

Two-factor means signing in needs a six-digit code from an app on your phone as well as your password. It is optional. It is worth doing: an account here can see what chemicals are on site, how much of each, and when the next truck arrives — which is not information you would read out to a stranger who called.

To turn it on: Settings, then Security, then Set up. Scan the square with an authenticator app, or type the key underneath it, then enter the six-digit code it shows you.

There are no backup codes. If you lose the phone with the authenticator on it, you cannot get yourself back in. An administrator at your own organization clears the second factor from your account, and then you sign in with your password and set it up again. So keep the authenticator somewhere you will still have it, and make sure an administrator has two-factor on as well — if none of them do, nobody at your plant can do that clearing.

Can we get our own data out?

Yes, any time, without asking anyone. Settings, then Data, then Export all data hands back everything on file for your organization as one file — every reading, usage entry, order and flagged problem, stamped with who exported it and when.

Useful for a records request, a retention schedule, or handing an inspector the underlying entries rather than a summary.

Can I get in from outside the US?

No. The app only accepts connections from US addresses, which keeps a lot of automated attack traffic away from the sign-in screen. The side effect is that if you are traveling abroad, you will not be able to sign in — not with the right password, not with your code, not at all.

If you are going to be away and might need to check the plant, tell your supervisor before you go rather than finding out at the airport. A corporate VPN can cause the same thing if it routes your connection outside the country.

How much should I trust the forecasts?

Treat them as a good second opinion, not as the answer. ChemLevel projects when to reorder from what has been logged — so it is only as good as the rounds behind it, and it does not know what you know. It cannot see that you are running a filter backwash tomorrow, that the raw water turned, or that a feed pump has been off for two days.

If a number looks wrong against the gauge in front of you, the gauge is right. Log what you actually read. That is the whole basis for everything the app then works out, and a forecast built on a tidied-up number is worse than no forecast.

ChemLevel does not control anything. It does not open a valve, start a pump, or change a dose. It is a record and a projection, and it is not a substitute for the regulatory records your state requires you to keep.

What if something looks wrong?

Say so. A forecast that disagrees with the plant, a number that reads strangely, a screen that will not do what you need — those are worth reporting, and they are the fastest way the app gets better at your plant specifically.
