ChemLevel is inventory, reorder forecasting, and procurement software for chemicals used in water, wastewater, and pool/spa treatment. It tracks bulk tanks and cylinders, forecasts when each will run out from your own readings, and drafts the order before you do.

Any liquid chemical in a bulk tank, such as sodium hypochlorite, alum, ferric chloride, caustic soda, sulfuric and hydrochloric acid, fluoride, polymer, and custom chemicals. It also tracks gas and liquefied chemicals in cylinders, like chlorine gas, sulfur dioxide, and anhydrous ammonia. Tanks and cylinders sit side by side in the same system.

Municipal water and wastewater treatment plants, hotels and resorts with on-site pool/spa treatment, and commercial and industrial facilities that dose their own process chemicals. It also suits any organization that runs several plants and wants one view of all of them, instead of a spreadsheet per site.

Tell us. No two plants run the same way. If a field is missing or a step is awkward, send us a message before you work around it. We build ChemLevel ourselves, and your message goes straight to the people writing the code. A change to a form, a report, or the order of a workflow usually takes days. If ChemLevel turns out to be wrong for your plant, we’ll tell you. We don’t want to sell you a subscription you’ll fight with.

Starter is $79/mo for a single plant. Team is $129/mo per plant and adds budget and procurement tracking: an annual budget per chemical and for the lab, spend measured against each, and lab inventory. It also adds a review of each day’s round, with tags at the tanks. Full details are in the pricing section of the homepage.

Yes, 15 days free when you create your organization, with no credit card. Nothing is charged automatically. At the end of the trial you pick a plan, or the account becomes read-only. You can still read everything recorded and export every plant in service, but you can’t save anything new. If no plan is chosen within 30 days, the account is deleted.

It comes with a sample plant, Meridian WTP (sample), with months of made-up readings and orders, so forecasts and reports work from the first day. It’s removed when the trial ends, or sooner if you remove it, and it’s never billed.

Yes. Subscribing online after the trial takes a card, which suits most private operators. If you’re a city, district or authority that buys against a purchase order, we invoice you instead. The invoice is emailed when each period begins and is payable in 30 days by check, ACH or card. A W-9 is available on request.

Annual billing works the same way, at ten months’ price for twelve ($790 a year for Starter, $1,290 a year per plant for Team). That suits a department that would rather raise one purchase order a year than twelve. Ask before your trial ends, and we can raise the first invoice to match your purchase order. An invoice still working its way through accounts payable doesn’t lock anyone out. Readings, orders and history keep working while it’s being paid.

We add sales tax where we’re registered to collect it, and you see it before you pay. If your entity is exempt, as a city, district or authority generally is, send us your exemption certificate. We apply it to your account, and every invoice from then on shows no tax. In Texas that’s Form 01-339, signed by the purchasing entity.

If you can, send it before you subscribe so the first invoice is right. If we charged tax before it reached us, tell us and we’ll credit it back. Email info@chemlevel.com.

Yes, on the Team plan. Reagents, standards and glassware get their own list and their own budget, separate from your tanks. To add an order, paste the vendor’s confirmation or choose the PDF or CSV they sent. ChemLevel reads the items, quantities and prices from it and builds your item list from what it finds.

From there you get price history per item, spend by month and by year, and an optional reminder on the day of the month you count. Lab inventory is optional per plant. A site that doesn’t run its own lab can turn it off and never see it.

It isn’t kept. The file or pasted text is read on your device, and only the catalog number, quantity and price are saved. Nothing is uploaded and no copy reaches our servers, so there’s nothing to delete afterward. A confirmation carries addresses, contact names and account numbers, and this feature has no use for them.

Both. Starter covers one plant. Team is priced per plant, so you can add as many as you run.

Archive it. The plant leaves the site switcher and stops appearing in Reports, alerts and exports. Every reading, delivery and order it ever held is kept, and you can restore it later. Archiving never deletes a plant’s records.

Archiving frees its place against your plan’s limit, so a replacement plant set up before your next renewal costs nothing extra. On Team, which is priced per plant, the next renewal bills only the plants still in service. After that, restoring an archived plant needs room on your plan. Only owners and chief operators can archive a plant, and the last plant still in service can’t be archived.

Each time a level or weight reading is logged, ChemLevel works out usage over the exact time since the last reading. Two readings 33 hours apart give a rate over 33 hours, not two "daily" checks. That rate drives days-until-empty, an order-by date, and a recommended order quantity. All of them update the moment a new reading lands.

A forecast appears as soon as there are two readings to compare, and it improves as history builds. By default ChemLevel averages usage over a rolling two-week window, so expect the numbers to settle over about the first two weeks of logging. The app shows how far along you are and stops mentioning it once there’s enough. If your plant runs to a different rhythm, you can change the window length. Yes, on the Team plan, as far as a phone can show it. Tags are optional, tank by tank, and a tank without one is logged as usual, with no mark. A supervisor sticks an NFC tag on each tank or cylinder rack to be checked and attaches it from the tank’s page in the ChemLevel app. Ordinary NTAG215 or NTAG216 stickers work, or on-metal or sealed ones where the tank calls for it.

Tapping the tag with the phone opens that tank in Log, and a reading saved within 15 minutes is marked Tapped. A reading saved without a tap is marked No tap, with the operator’s reason if the plant asks for one. No reading is ever refused for lack of a tap.

Supervisors see each day’s round in Reports, with who took each reading, when, and whether it was tapped. The review also notes readings that look copied from the estimate on screen, entered seconds apart, or filled in hours after the time they give. Tapped means the phone touched the tank’s tag. It doesn’t check the number, and a determined person could copy a tag. The round review works in any browser. Tapping tags needs the iPhone app, on the App Store, or the Android app, on Google Play.

Open it from Recent entries on that chemical’s Usage view and correct it. You can edit the value, the note and the time it was taken, and you can move a weigh-in round the same way. The time matters because the forecast measures usage over the gap between readings. A round walked at 6am and keyed in at 9am would otherwise look like three hours of chemical nobody used. Every change is recorded with who made it and when. Afterward, the tank’s current level is recomputed from whichever reading is newest.

That’s fine for the rate. The forecast works from the time between readings, so readings taken twice a week or on an irregular rotation still give a true rate of use. What it can’t know is what happened since the last one. A chemical whose last reading is more than 36 hours old is marked low-confidence until the next one comes in. A tank read twice a week carries that mark between rounds. Meanwhile, the level on screen is drawn down at the usage rate for up to four days, with the last reading named beside it. The next reading corrects it.

Not if you enter what was left. When you record the swap, a cylinder that wasn’t empty gets a box for what the scale read as it came off. That gas goes back with the cylinder and isn’t counted as used. If you leave the box blank, the cylinder is taken to have run empty, which is right for one you ran down first. If you also set the rack’s changeover days, ChemLevel flags a cylinder that will run out on a day off. The flag comes on the last changeover day before it, so you can plan the early swap. Yes, on the Team plan, once it knows what last year looked like. Most plants use far less of every chemical in winter. ChemLevel runs today’s rate for the next month, then follows last year’s pattern to the end of the budget year.

A supervisor can give it last year by pasting past deliveries in under Settings → Budget year. Paste the date, chemical and amount of each, straight from a spreadsheet. The amount can be a weight, a volume, or a count of cylinders, and each year can go in separately. After a year of readings, ChemLevel has its own history.

Past deliveries shape the projection. If your sheet has a cost column, they can also supply “already spent this budget year” for the part of the year before ChemLevel was measuring. That needs a cost on every load in the year, because a partial set derives nothing. You can always type your own figure instead. How the numbers work has the details.

It shows how long each chemical lasts from a full tank or rack, at the rate you’re using it now. You’ll find it under Reports → Storage and on each chemical’s Setup view. If your state requires a set number of days, a supervisor enters it under Settings → Required days of storage. Any chemical that falls short is marked there and noted on the Dashboard.

The Storage view exports as a PDF you can hand an inspector. A chemical with no use recorded yet, or no capacity set, reads “No figure yet” there and isn’t counted as meeting the requirement. The view notes that it measures at current use, since that’s the rate ChemLevel records.

Each state measures its requirement its own way. Texas, for one, sizes storage at the plant’s design capacity. That means a plant running below design will see more days here than the rule’s own arithmetic gives. Treat it as a check on your tanks at today’s pace, not a ruling on compliance. No. ChemLevel drafts the order (quantity, vendor, and delivery window), and someone on your team reviews and sends it. Nothing is purchased or committed automatically.

Five, the same as ShiftRounds, and each person has one. An owner can do everything, including adding and removing other owners. A chief operator runs every plant and the account: adding plants, inviting and removing anyone but an owner, and billing. A supervisor sets up their own plants (tanks, cylinders, reorder thresholds and budgets) and invites and removes the operators there. A buyer handles every plant’s orders, deliveries and budgets, with no setup. Operators log readings, orders and deliveries. Sign-up asks whether you’re the owner or the chief operator.

A supervisor with full access reaches every plant and also manages other supervisors. Other supervisors and operators see only the plants they’re given, and a plant they aren’t assigned to doesn’t appear for them at all. A plant added later is given to them by hand. Whether an operator sees costs, budgets and usage reports is set per person, by an owner or chief operator. Permissions are per organization. ChemLevel for operators covers what the app records and who can see it, written for the people doing rounds.

Yes. An owner, chief operator or supervisor adds the tablet under Settings › Devices, which shows a one-time code, and the tablet signs in as itself with it. Each person unlocks it by choosing their name and entering their PIN, and every reading, order and delivery saved on it carries their name. A supervisor sets those PINs in People, or each person sets their own in Settings. Operators who never sign in anywhere can be added to People by name, for shared devices only.

A shared device shows no prices or budgets, and has no setup, people or billing, whoever unlocks it. It unlocks with no signal, and a supervisor removes it under Settings › Devices, which stops it working at once. Shared devices are included on every plan.

Yes. A reading logged with no signal, in a pump room or chemical storage area, is saved on the device. It syncs automatically the moment the device finds a connection. Opening the app works with no signal too, once you’ve signed in on that device, and so does unlocking a shared tablet with your PIN.

Your data is hosted in the United States and encrypted at rest and in transit. It’s scoped per organization, so one organization’s users can’t see another organization’s data. The database itself enforces that separation. Multi-factor authentication (MFA) is available to every user. Our Security page covers what’s in place, what isn’t yet, where it runs, and who to contact. The Privacy Policy covers what’s collected and how it’s handled.

Yes, and you don’t need to ask us. Settings → Data → Export all data gives you your organization’s records as one file (every reading, usage entry, order, delivery and flagged problem). The file is stamped with who exported it and when. It covers every plant in service that you can see. An archived plant is left out until it is restored, and costs and budgets are left out for anyone who may not see them. If you want a spreadsheet, Reports exports summaries separately.

If you cancel, the plan runs to the end of the period you’ve paid for. Then the account becomes read-only. Your records stay intact for thirty days, and you can read and export them. If you resubscribe, saving starts again. After the thirty days, they’re permanently deleted. A lapsed card doesn’t delete your history right away. You have thirty days to resubscribe or export, and an export is yours to keep either way.

Restoring an archived plant needs an active plan, so restore any you want in the file before you cancel. See Security for the details.

Both are in the app, under Settings › Leaving ChemLevel. Leave this organization takes you off the roster and leaves the plant’s records alone. Use it when somebody moves on.

Close this account ends the organization, and only owners and chief operators can do it. Every site, chemical, tank, reading, delivery and budget it holds is deleted 30 days later. For an account whose trial or plan has already ended, it’s deleted on the date already set. If a subscription is still running, cancel it first so billing stops with the account. If it’s already set to end, you can close the account once its billing period is over. The 30-day wait means closing the wrong account on a Friday afternoon can be undone.

On a phone or tablet at the tanks, in the iPhone and iPad app on the App Store and the Android app on Google Play. The apps keep recording readings with no signal and sync when it returns.

On a computer, in any modern browser, in the office or on a screen left up in the control room, where the Chemicals tab’s Control room view fills the screen with every chemical’s gauge. There’s nothing to update in the browser, since everyone gets the current version the next time they open it.

One account signs in on all of them. In a phone’s browser, ChemLevel finishes an invitation or a new sign-up, and otherwise points you to the app.

Yes. ShiftRounds is operator rounds software for water and wastewater plants, made by the same team. On the Team plan, an owner or chief operator gets a one-time code in ChemLevel under Settings → ShiftRounds, and it’s entered in the ShiftRounds console.

After that, a tank level or a chlorine cylinder’s net weight read on a ShiftRounds round is logged in ChemLevel moments after the operator finishes that checkpoint, marked From ShiftRounds with the operator’s name, and counts like any other reading. Where ShiftRounds asks for a tap at the checkpoint, the reading also shows whether the operator tapped that area’s tag in ShiftRounds. A reading corrected on the round replaces the first one, and one taken with no signal arrives when the operator’s phone syncs. Either product can disconnect it, and readings already sent stay.
